Reservations backoffice: general overview

The reservations backoffice is the central panel where all reservations are viewed, managed, and organized, regardless of the channel they came from.

What is the reservations backoffice?

The reservations backoffice is the space where the team can view and manage all reservations entering the Bookings system.
From this panel, reservations from the website, agent (WhatsApp & Instagram), manual entries, and walk-ins are centralized.

Its main objective is to provide a clear and organized view of the daily operation.

What information is in the backoffice?

Within the backoffice you can find the following main sections:

  • Reservations list: shows all reservations with their detailed information.

  • Reservations agenda: display in calendar format (month, week, or day).

  • Shift center: future availability management.

  • Customer list: database of customers who made reservations.

  • Agent chats: active conversations with customers.

Each section fulfills a specific role within the operational management.

How to navigate the backoffice?

The backoffice is designed for simple and intuitive navigation:

  • Quick access to the day's reservations

  • Filters by date, location, or status

  • Switch between list view and calendar view

  • Direct access to creating new reservations or walk-ins

This allows the team to operate quickly and without friction.

Cancellation, editing, and deletion of shifts

From the Reservations Backoffice, the Reservations Agenda is the central space for the operational management of shifts.
From there, users can view, edit, cancel, or delete existing reservations, as needed.

  • Cancel a reservation: allows you to void the shift while keeping the historical record of the reservation in the system. The reservation changes status and no longer impacts the operational agenda.

  • Delete a reservation: removes the shift from the agenda when it is an incorrect record or should not be kept.

  • Edit a reservation: allows you to modify data such as date, time, or customer information, automatically updating the agenda.

These actions directly impact the venue's availability, freeing up or adjusting the corresponding time slots and keeping the agenda aligned with the actual operation.

What is the backoffice used for?

The backoffice allows you to:

  • Centralize all reservations in one place

  • Have full control of the daily operation

  • Avoid errors and duplications

  • View occupancy and availability

  • Facilitate the work of the team and the agent

Summary

The reservations backoffice is the main control point of the Bookings system. From there, all reservations are managed, occupancy is monitored, and operations are coordinated in an orderly and efficient manner.
